Paper forms present many challenges. They are error-prone, slow to process, and require wet signatures. With Softdocs eSignatures, the slow tedium of ink signatures is removed. No more printing, writing, scanning, sending, and wondering.

Electronic signatures have become a cornerstone of modern digital workflows, enabling institutions to streamline approvals, reduce paperwork, and improve service delivery. At Softdocs, we’ve built an e‑signature solution designed specifically for the needs of higher education and public sector organizations — prioritizing accessibility, ease of use, affordability, and regulatory compliance.

Unlike one-size-fits-all platforms, Softdocs eSignatures is tailored to the unique workflow demands and compliance standards of colleges, universities, and local government agencies. From internal approvals to student forms and constituent-facing processes, our solution integrates seamlessly into existing operations — without the complexity or high costs often associated with enterprise e‑signature tools.

With unlimited signatures, approval cycles have never been more efficient. Staff, students, constituents and employees simply complete, sign, and submit request forms and applications online for faster service.

ESIGN and UETA Compliance

Electronic signature compliance in the United States.

Compliance Framework

The United States Electronic Signatures in Global and National Commerce (ESIGN) Act and the Uniform Electronic Transactions Act (UETA) provide electronic contracts the same legal validity and enforceability of pen-and-paper (or “wet signature”) contracts. There are four major requirements for all electronic signatures to be recognized as valid under U.S. law:

  1. Intent to sign
  2. Consent to do business electronically
  3. Association of signature with the record
  4. Record retention

The recipient’s electronic signature is created by requiring the user to provide a username, password, and an additional code if necessary. This series of credentials creates a unique login for each user. (Similar to how income tax documents may be processed with only a PIN.)

The complete history of the approval becomes part of the document, creating an auditable and tamper-proof trail of actions. This functionality allows originators to view all approval times and dates.

Exponential Time and Cost Savings

Softdocs enables e-signatures within digital workflow, enabling you to design the best approval process for maximum efficiency. Customers routinely cut approval cycles by more than 90%.

Softdocs eSignatures supports both logged-in users and external recipients who are authorized via email. Constituents like parents or community members can sign forms originated by a Softdocs user simply by following a secure link — no account or login required. Individuals needing to originate a form outside of Softdocs can authenticate through social accounts (Google, Facebook, Apple, and others) using the platform's robust IAM.

The speed and simplified user experience delivers compounding value to your organization. Easier, faster, and less expensive is a winning trifecta.

Softdocs eSignatures: Part of an Integrated Platform

We were at the end of life with our legacy document management system, which we had used for over 10 years. We had two choices: either upgrade the legacy system or start fresh with a new solution. Softdocs gave us the ability to do this with an easy-to-use platform, unlimited e-signatures, and a fixed-fee implementation.

Frequently Asked Questions

Yes.

With electronic signatures, you have an efficient and legal way to get electronic forms and documents authorized quickly. E-signatures have been legally binding since the United States Electronic Signatures in Global and National Commerce Act (ESIGN) was passed in 2000. ESIGN ensures that e-signatures are legally valid in every state where federal law applies. This means the technology used to capture signatures must encompass three requirements: intent to sign, consent to do business electronically and record retention.

With its single sign-on (SSO) functionality, the Softdocs Platform allows user login credentials to provide secure access to the forms and documents they need to submit, review or approve forms and documents. Meanwhile, user-assigned privileges and a detailed form history ensure that collected e-signatures are valid and compliant with the ESIGN Act and the Uniform Electronic Transactions Act (UETA).

Softdocs SSO provides automatic authorization and e-signature compliance, creating tremendous time savings for everyone involved.

Softdocs Form Sign is a legally binding electronic signature applied to documents within the context of a digital workflow, or an electronic signature applied to a form submission. A common use case is approval workflows where key stakeholders can effortlessly approve purchase requests, expense reimbursements, or other high-volume transactional process.

Softdocs Doc Sign is a legally binding electronic signature applied to a PDF in an ad hoc scenario. This might be a contract, for example.

These two products empower organizations to fully standardize on electronic signatures for any aspect of their process.

In a nutshell: much simpler than any other vendor on the market.

The Softdocs Platform is a cloud-based SaaS application. Like all SaaS products, customers pay an annual subscription. That subscription, should a customer purchase the e-signatures module, enables an organization to execute unlimited electronic signatures.

Vendors like Docusign, Adobe, and Dropbox charge customers per signature or per transaction. This "metering" of services is not always easy to predict, and can lead to cost overruns. Several Softdocs customers were paying hundreds of thousands of dollars per year before they switched to Softdocs eSignatures.

Yes.

Softdocs eSignatures captures a detailed log of transactions, enabling organizations to remain in a state of audit-readiness. The system tracks identity, timestamps, and document history, and that audit trail remains accurate, unchanged, and accessible over time.

Yes. Without hesitation.

Security is a fundamental tenet of the Softdocs Platform. Every aspect of the platform — how information is captured, processed, stored, and dispositioned — is built with compliance and confidentiality in mind. Softdocs eSignatures are compliant with ESIGN and UETA, but we also support FERPA, HIPAA, and other privacy regulations.

In fact, because the Softdocs Platform handles the entire lifecycle of sensitive documents, there are far fewer gaps in the security of information.
