We’re thrilled to talk about the new features and enhancements of the Fall 2024 release of the Softdocs platform. As Scott Craig (Softdocs Chief Product and Strategy Officer) said, every aspect of the platform has been upgraded, and every customer, no matter how they’re using it today, will benefit. Let’s jump in.

eForms Updates

Softdocs eForms is our no-code form designer that customers use to collect information from students, staff, faculty, citizens, and any other constituency. It’s often used to kick off critical processes, many of them requiring legally binding signatory approvals. Incoming information must be structured, consistent, and accurate.

In our new release, we’ve launched three new features to boost data integrity.

  1. Softdocs eForms now supports bi-directional API-based data sources for populating field options (for example, in a dropdown) and prepopulating field values (like names), enabling not just more accurate data capture upfront, but continuous data synchronization with platforms such as Ellucian Ethos.
  2. eForms designers can now set validating format “masks” on fields to guide users to enter appropriate values. Mask examples include social security numbers, phone numbers, and zip codes.
  3. Users can now view and add attachments to a form while signing it. These attachments are visible throughout the workflow.

eForms Starter Templates

Our EdCloud has been renamed to Etrieve Library and redesigned for a much better browsing experience. The library now features 120 templates (and counting) created in the new Form Builder.

New Delegate Management

We’re proud to introduce delegate management, a new organizational tool that enables localized administrative control over workflow approval groups, document type management, custom properties filtering, and more.

Centralized IT admins can delegate responsibility of Etrieve to departments without compromising system-level security. The first new permissions available through delegate management allow independent departmental managers can now create and manage their own Groups—like Workflow Approver Groups—for their departments’ unique workflows.

This delegation of control enables efficient process changes at the local level without submitting IT tickets whenever a group’s membership changes.

Workflow Enhancements

IT and departmental leaders will love new workflow admin tools that remove common points of friction from approval chains.

  1. Workflow Monitor users (who have the appropriate permissions) can now examine the contents of an in-progress package directly from the monitor pages, helping them resolve errors and clear out bottlenecks.
  2. Workflow Monitor users can now also move packages forward even if they’re stuck between review and approval steps, enabling admins to keep their workflows clear of duplicated, errored, or orphaned packages.
  3. Workflow admins can now limit which workflow steps can accept attachments, removing points of potential misuse.
